INTERDEPARTMENTAL SPECIALIST
THE ROLE
The Interdepartmental Specialist serves as a central liaison among multiple departments—including Accounting, Estimating, Human Resources, Administration, and the Management Team—ensuring smooth communication, accurate documentation, and timely completion of tasks. This role supports departmental needs during peak workloads and staff absences, helping maintain efficiency across the organization.

WHAT YOU’LL BE DOING
- Project & Accounting Support
- Set up new jobs in the accounting system using data from the Estimating Department and customers
- Code and enter routine invoices (e.g., utilities, fuel, company insurance, truck/equipment maintenance).
- Maintain accurate contact lists in Outlook and update server folder structures
- Payroll & Timekeeping
- Assist Payroll by entering employee hours into the online payroll platform using submitted work orders
- Verify that all work orders and documented hours follow company policy before submission
- Administrative & Data Management
- Provide back-up support to the Administration team
- Verify and compare data to source documents, reviewing for accuracy and reporting discrepancies
- Enter and update data from customers, vendors, and internal teams in database systems
- Organize and save all documentation according to company policy
- Interdepartmental Assistance
- Assist various departments with tasks as requested to ensure project continuity and timely completion
WHAT YOU BRING
- High School Diploma or Equivalent
- Strong Attention to Detail and Accuracy
- Professional Communication skills and a positive, team-oriented attitude
- Exceptional organizational abilities with the capacity to manage multiple priorities
- Proficiency in Microsoft Office and Outlook
